HOA & Architectural (ACC) Approvals

What the HOA is
Painted Tree's HOA is professionally managed by CCMC, a community management company. CCMC handles dues, statements, account setup, and the architectural review process.
A few things worth knowing as a new resident:
- Your HOA account ID arrives by mail after closing. You'll need it to set up your online account.
- Manage your account, view statements, and pay dues through the CCMC resident portal: vmsweb.ccmcnet.com. Payment options live at ccmcnet.com/payment-options.
- Dues are typically collected at closing first, then you'll get a standard balance/statement letter once that prepaid amount is used up. A balance letter is routine, not a sign of trouble.
Exact dues amounts, fees, and forms come from CCMC and can change. Confirm current details in the resident portal.
When you need ACC approval
The ACC (Architectural Control Committee) reviews changes to your home. The rule neighbors repeat most often:
Anything on the outside of the home that's visible from the street will require HOA approval.
Things that commonly need approval before you build or install:
- Fences and fence modifications
- Trash-can pads and enclosures (see the rule below)
- Pools, patios, concrete extensions, and turf
- Pergolas, sheds, and other structures
- Exterior paint changes
- Major landscaping, flower beds, and edging
- Landscape and yard lighting
- Solar panels
Trash-can enclosures are a frequent question. Per an ACC response shared in the group: the enclosure must match your existing fence in material, design, height, and color, and must start at least 5 feet back from the front corner of the home (it can't sit flush with the front corner).
How to submit an application
The recurring question is "what's the process for submitting a new architectural modification request?" Here's the short version:
- Open the architectural modification request form through the resident portal at vmsweb.ccmcnet.com.
- Describe your project clearly: what you're adding, dimensions, materials, and colors.
- Attach supporting documents as needed: a simple site/plot sketch showing where the project sits relative to your fence and property lines, plus plans, drawings, or material details. A copy of your plat from your closing documents works well for site plans. Simple matching projects may need little more than a description.
- Submit and wait for an acknowledgment email.
After you apply
- You'll typically get an acknowledgment in 1-2 days, then a decision.
- CCMC's general review window is up to 30 days, though many simpler requests come back faster.
- The committee will approve, deny, or request more information. Keep your written approval for your records.
- If denied, you can revise and resubmit, or ask the management office about the appeal process.
Get written approval BEFORE you start work. A conversation, an email, or silence is not approval. Starting (or finishing) a project without ACC sign-off can lead to violation notices, fines, and orders to remove or redo the work at your own expense.
